Beta Financial Group Limited (Beta Financial Group, we, us, our) is committed to protecting the personal information of our clients and prospective clients. This Privacy Policy explains how we collect, hold, use and disclose your personal information in accordance with the New Zealand Privacy Act 2020 and the Information Privacy Principles, and how you can contact us about your personal information.

This policy applies to personal information we collect when you engage us for financial advice, visit our website, or otherwise interact with us.

Personal information we collect

The personal information we collect depends on the nature of the financial advice we are providing. It may include:

  • identity information such as your full name, date of birth, gender, IRD number, and identity document details (for example passport or driver licence);
  • contact information such as your residential and postal address, email address, and phone numbers;
  • financial information such as your income, assets, liabilities, expenses, banking details, KiwiSaver and investment account details, insurance policies and claims history;
  • employment information such as your occupation, employer, and employment history;
  • family and dependant information relevant to your financial goals and insurance needs;
  • health and medical history information (such as pre-existing conditions, medications, past diagnoses and treatments, and family medical history) where this is required to identify the most suitable health or life insurance provider for you, to provide personal risk insurance advice, and to arrange, underwrite or service a policy on your behalf;
  • information about your financial goals, risk appetite and objectives; and
  • technical information when you use our website (for example IP address, browser type, and pages visited).

How we collect your information

We collect personal information:

  • directly from you, for example when you complete a fact find, apply for a product, or communicate with us in person, by phone, email or through our website;
  • from third parties you have authorised, such as your accountant, solicitor, KiwiSaver scheme provider, insurer, bank, or another financial adviser;
  • from product providers we arrange products with, including their underwriting decisions, policy details, and claims information;
  • from publicly available sources, credit reporting bodies, and identity verification services; and
  • automatically through our website and the systems our service providers operate on our behalf.

How we use your information

We use your personal information to:

  • provide personalised financial advice and ongoing service in relation to personal risk insurance, KiwiSaver, superannuation and investment products;
  • prepare recommendations, statements of advice, applications and related documentation;
  • arrange, implement and service products with product providers on your behalf;
  • verify your identity and meet our obligations under anti-money laundering, financial advice, tax, and other applicable laws;
  • manage our relationship with you, including responding to your enquiries and processing claims;
  • comply with our legal, regulatory and professional obligations, including obligations under the Financial Markets Conduct Act 2013 and the Code of Professional Conduct for Financial Advice Services; and
  • improve our services, including training, quality assurance and maintaining business records.

Who we share your information with

We only share your personal information where it is necessary for the purposes set out above, where we have your authority, or where disclosure is permitted or required by law. We may share your personal information with:

  • Product providers we arrange products with, such as insurers (including AIA, NIB, Chubb and Fidelity Life), managed investment scheme providers (including New Zealand Funds Management Limited), and KiwiSaver scheme providers;
  • Reinsurers and underwriters, where relevant to personal risk insurance advice;
  • Service providers who support our business, including The Adviser Platform (TAP), which provides our CRM and administrative support services, Alcova, which provides our meeting recording and document platform, and other providers of data storage, IT, compliance, audit, accounting, and professional advice;
  • Referral partners, where we identify a product or service offered by another provider that may be of interest to you (see the section below);
  • Regulators and dispute resolution bodies, including the Financial Markets Authority, the Office of the Privacy Commissioner, and Fairway Dispute Resolution Services;
  • Identity verification providers and credit reporting bodies, where required; and
  • Any other person you have authorised us to disclose your information to, or where disclosure is required or permitted by law.

Some of our service providers and product providers may store or process your personal information outside New Zealand. Where this occurs, we take reasonable steps to ensure comparable privacy safeguards apply, consistent with our obligations under Information Privacy Principle 12.

New Zealand Funds Management Limited (NZ Funds)

Beta Financial Group acts as an external adviser and agent for New Zealand Funds Management Limited (NZ Funds). Where we provide advice on, arrange or service an NZ Funds product for you, we do so in that capacity, and the personal information you provide to us for this purpose is collected and shared with NZ Funds so that they can establish, administer and service your relationship with them.

NZ Funds will hold and use your personal information in accordance with the NZ Funds Privacy Policy. You have the right to access and correct your personal information held by NZ Funds as set out in their Privacy Policy.

The Adviser Platform (TAP) and our administrative services

We use The Adviser Platform (TAP) to provide our client relationship management system and certain administrative support services. TAP processes personal information on our behalf under appropriate contractual safeguards, in accordance with the New Zealand Privacy Act 2020. TAP does not use your information for its own purposes. Alcova meeting recording and document platform

We use Alcova as our meeting recording and document management platform. With your consent, meetings with you (including video, audio, and transcripts) and related documents may be recorded and processed in Alcova so that we can accurately capture our advice, maintain our client records, and meet our record-keeping obligations under the Financial Markets Conduct Act 2013 and the Code of Professional Conduct for Financial Advice Services.

Alcova does not store meeting recordings or transcripts for longer than is needed to create accurate notes of a meeting. No video or audio is stored after the day it was recorded. Once the meeting notes have been produced, the underlying recording and transcript are no longer retained.

When using Alcova, your personal information is handled in accordance with Alcova's security and privacy policy, which governs how Alcova stores, secures and processes information on the platform. We will not record a meeting without your knowledge, and you can ask us at any time not to record a meeting or to delete an existing recording.

Storage and security

We take reasonable steps to protect your personal information from loss, misuse, unauthorised access, modification or disclosure. These steps include secure electronic storage, access controls, staff training, and working only with service providers that have appropriate security measures in place. Where personal information is no longer required for the purposes for which it was collected, and we are not required by law to retain it, we will take reasonable steps to securely destroy or de-identify it.

Access to and correction of your information

You have the right to request access to the personal information we hold about you, and to request that we correct any information that is inaccurate, out of date, incomplete, irrelevant or misleading. To make an access or correction request, please contact our Privacy Officer using the details below. We may need to verify your identity before responding, and there are limited circumstances in which we can withhold information or decline a correction under the Privacy Act 2020.

Notification when information is collected from others

From 1 May 2026, Information Privacy Principle 3A of the Privacy Act 2020 requires us to take reasonable steps to notify you when we collect your personal information from a source other than you. Where this applies, we will let you know what information has been collected, the purpose of collection, the agencies the information has been shared with, our name and address as the collecting and holding agency, any relevant legal basis for collection, and your rights to access and correct the information, unless an exception under the Privacy Act 2020 applies.

Cookies and our website

Our website may use cookies and similar technologies to help it function correctly and to understand how visitors use the site. You can set your browser to refuse cookies or to alert you when cookies are being sent, although some parts of the website may not function properly if you do so.
